The Fares system is a cornerstone of the digital transformation initiative adopted by the Ministry of Education in the Kingdom of Saudi Arabia. It serves as a comprehensive electronic interface designed to streamline administrative and financial procedures for all ministry staff, including teachers, administrators, and other users. This system is part of the ministry's strategy to automate processes and reduce reliance on paper transactions, thereby saving time and effort and enhancing administrative efficiency.

In line with the Kingdom's Vision 2030, which focuses on e-government and digital transformation, the Fares system has emerged as an effective technological solution for Human Resources Management (HRMS). The system enables employees and managers to complete transactions instantly without needing to visit the administration office or endure long waiting periods. Its significance lies in its ability to provide an accurate and up-to-date database, which assists decision-makers within the ministry in strategic planning and efficient staff allocation, as well as ensuring transparency regarding job rights and responsibilities.

Self-services in the Fares system for managers

The system grants administrators (school leaders and department heads) broad authority to manage their personnel electronically, thus expediting daily operations. Key services offered to administrators include:

  • Request management: The ability to submit a request directly to an employee upon their return from leave, request various allowances for employees, and officially report an employee's absence.
  • Inquiry services: The system allows the manager to conduct a comprehensive inquiry about the data of his employees, and to follow up on the status of their pending or approved requests, thus facilitating the process of administrative control and follow-up.

Employee self-service in the Fares system

The Fares system provides a wide range of services for teachers and administrators (self-service), granting them autonomy in managing their professional affairs. These services are divided into:

1. Online applications:

  • Leaves: Submitting leave requests of all types (regular, sick, emergency), in addition to requests to extend leave, interrupt leave, modify its duration, or cancel it.
  • Allowances and retirement: Submitting applications for due allowances, and submitting applications for early or regular retirement.
  • Resumption of work: Reporting the resumption of work electronically after returning from leave to ensure continued salary payments and to prevent absence from being counted.

2. Queries and data:

  • Financial data: Review of the payroll statement (salary definition) and its details.
  • Employment record: Access basic data, employee history, overtime statement, and secondment statement.
  • Tracking requests: Knowing the status of pending requests and the transaction progress with authorized personnel.

Steps to register in the Fares system (self-service)

To benefit from all these services, employees must register in the system and activate their account through the following steps:

  1. Access the official website of the Fares system belonging to the Ministry of Education.
  2. Go to the "Self Service" option from the main menu.
  3. Click on the "Register and Log In" icon.
  4. Choose "Create a new user" or "First time registration in self-service".
  5. Enter the required personal data accurately (ID number, bank IBAN, email address, and mobile number).
  6. Press the "Record" or "Execute" button.
  7. The system will send an activation code via text message (SMS) to the registered phone to activate the account and successfully log in.
